The Customer Service Representative serves as the first point of contact for customers delivering exceptional service by responding promptly and accurately to inquiries, processing orders, resolving issues, and sharing product an service information. This role is essential in supporting the sales team, enhancing customer satisfaction, and building strong long-lasting client relationships.


Responsibilities

  • Respond to customer inquiries via phone, email, or web portal regarding orders, products, pricing, lead times, and delivery.
  • Provide product and service information to assist customers in making purchasing decisions or troubleshooting.
  • Process sales orders, RMAs, change orders, and warranty claims accurately and efficiently in the ERP/CRM system.
  • Coordinate with sales, engineering, and production teams to ensure customer requirements and expectations are met.
  • Monitor open orders and communicate status updates and delays proactively.
  • Assist with spare parts identification and quoting.
  • Maintain accurate customer records and order status in CRM and ERP platforms.
  • Handle customer complains or issues, escalating to appropriate personnel when needed.
  • Support outbound communications such as service reminders, product updates, or satisfaction follow-ups.
  • Maintain knowledge of company products, services, and procedures to provide accurate support and quotes.

Requirements

  • High School Diploma or equivalent; an associate’s degree or higher preferred.
  • 2+ years of customer service experience, preferably in a manufacturing, industrial, or technical environment.
  • Proficiency with Microsoft Office and ERP/CRM systems (e.g., Salesforce, NetSuite, SAP, etc.).
  • Strong communication and interpersonal skills.
  • Excellent problem-solving and organization abilities.
  • Detail-oriented with the ability to manage multiple tasks and deadlines.
  • Experience supporting sales or service functions with technical products, including parts identification, reviewing product specifications, and interpreting basic technical drawings.
